This privacy policy sets out how we look after the data you provide to us during the enquiry and booking process.

For our guests, this Privacy Policy explains what information we collect when you make a booking with us. It also explains what information we collect when you contact us to make an enquiry about our portfolio of holiday properties, sign up for our updates, or enter one of our prize giveaways.

For our holiday property owners, this Privacy Policy explains what information we collect when you contact us to make a make an enquiry about our Letting Service. It also explains what information we collect and hold when you let your holiday property or properties with Isles and Miles.

Making an enquiry about a holiday:

We need to collect details from you as the guest in order to answer your enquiry about our holiday cottages or the services we offer.

The information that we need to collect and store will include your name, contact details, information about your holiday enquiry and/or booking and any additional information we may need to help meet your specific requirements.

We will then use the information you provide to manage your enquiry (or to help us to provide details or other information you may have requested).

Making a booking:

We need to collect details from you as the guest in order to make a booking of one of the Isles and Miles holiday properties.

The information that we need to hold is likely to include your name, contact details, information about your booking and any additional information we may need to help meet your specific requirements.

The information you provide may be used to enable us to complete your booking. This information may also be used to provide that booking to you in accordance with our Terms and Conditions.

In order to provide your booking to you we may share your information with owners of your chosen holiday property (or their appointed contact), credit/debit card companies* and third parties who we may need to work with to deliver services for your stay (such as housekeepers / cleaners, management/maintenance companies and other suppliers).

We may also share your contact details with ….... (our third party review administrator) who may contact you to ask for your feedback on the accommodation and/or the services that have been provided. Your feedback, if you provide it, will then be displayed on our website but not your contact details.

Our Newsletter and Updates:

If you request our email newsletter and updates (while making a booking or as part of a separate enquiry), then the information you provide will be used to send you our newsletter and updates. We use Mailchimp as our emailing service provider. They store your data only on our behalf and will not contact you directly, nor will they sell or share your information with anyone else. If you would no longer like to receive our newsletter and updates, then please either unsubscribe by clicking the unsubscribe link at the bottom of our newsletter or send an email to info@islesandmiles.co.uk and we will remove your personal details from our newsletter / update mailing list.

Personalising your online experience

We may use your information to personalise your online experience and make sure that we show appropriate adverts on our website and on other websites and platforms where we place advertising, such as (but not limited to) Facebook and Google. You can control what advertisements you receive via the privacy settings on the individual platforms that we advertise with.

Online marketing

We may also use your information to identify other people like you, with similar interests to present our marketing to on Social Media and Google. No information about other individuals identified from these networks is shared with us at any time.

We allow some individually selected organisations who we use for our advertising to place cookies on our websites which then are stored in your browser in order to provide personalised marketing. Making an owner enquiry:

We need to collect details from you in order to answer your enquiry about letting your Holiday Property or the services we offer. We will use the information you provide to manage your enquiry (and/or to help us to provide details or other information you may have requested).

The information that we need to hold is likely to include your name, contact details, property name and details, historical information about prices and occupancy levels at your property and any additional information we may need to help meet your specific requirements.

If you don’t go ahead with letting your holiday property with us, then you can ask us to delete this information at any time by sending an email to info@islesandmiles.co.uk

Joining Isles and Miles as a holiday property owner

When you join Isles and Miles, we need to collect details from you in order to add your details and the details of your cottage to our website and in order to provide our Services to you in accordance with our Owner Terms and Conditions.

The information that we need to hold is likely to include your name, contact details and bank details (account name, number and sort code). We also need to hold details of your holiday property including a description and technical information, key location and key pick up information, photos and video of the property and any additional information we may need to help meet your specific requirements.

The information you provide may be used to enable us to add your property to the Isles and Miles website, social media and other marketing channels.

We may also advertise your holiday property on websites belonging to other organisations. In order to do this we will need to share your holiday property details with other organisations for them to use on our behalf in connection with the creation of marketing and promotion for us.

In order to complete and manage bookings at your holiday property then we may also share your information and your property information (including key pick-up information and property access information) with visitors and third party suppliers who we may need to work with to deliver these services (such as cleaners, housekeepers, gardeners, maintenance and other suppliers).

What is not included in our Privacy Policy?

This privacy policy relates to Visitors and Owners of Isles and Miles. It does not relate to people working for Isles and Miles, or third parties who we may need to work with to deliver our services (such as property cleaners, housekeepers, maintenance and other suppliers).

This privacy policy does not cover other organisations which we use to advertise our products and services.

Our website also links to websites and social media belonging to other organisations. This privacy policy does not apply to how those other organisations use your data, so please make sure you check their privacy policies before giving them your personal information.

We collect website usage information for www.islesandmiles.co.uk using “cookies”. Cookies are not included in this Privacy Policy - for further information about cookies and how we use them please see our Cookies Policy.

Consent & Contract

Where you give your consent for us to hold and process your data (either by making an enquiry or booking with us or by signing up for our newsletter and updates) then you only need to contact us to inform us to ask us to stop processing your data and/or to delete (to the extent possible) all your personal data (unless we are required by law to keep specific details).

Please note that where you make a booking to stay at one of the Isles and Miles holiday properties, then we need to retain your information in order to process your booking and as such we won’t be able to delete your personal information until after your stay.

For owners letting your cottage with Isles and Miles, we may need to retain your personal information and information relating to your holiday property in order to comply with legal requirements to HMRC in respect of data retention regulations for accounting purposes and as such we won’t be able to delete your information until any statuary limitations have expired.

Please note that we may disclose your personal data (about our Owners and our Guests) without your permission to the extent that we are required to do so by law or regulation or in connection with any legal proceedings or prospective legal proceedings, and in order to establish, exercise or defend our legal rights.

Cookie Policy

We store cookies on your computer to identify that you have been to our site before, and to personalise certain content based on previous behaviour. We do use third party cookies to track data. We also use remarketing cookies to log when users view specific pages on our site, in order for us to provide targeted advertising in the future.
